Step

Tips/Notes

1

With the patient selected and displayed in the Patient Banner, select ‘Enter Order’ from the main toolbar

Or the same icon is to the left of the patient’s name on the Patient Banner

2

If the allergies have not been reviewed before placing an order, a prompt will appear on the screen

Check the allergy status for the patient. Add any allergies not displayed and mark all allergies as reviewed to continue (see separate Quick Reference Guides for adding and reviewing allergies)

3

The Order Entry Worksheet is displayed. This is the starting point of creating your order

The ‘Requested By’ options will default to ‘Me’

4

If you click on ‘Other’ on the Requested By options, there will be 3 options available

‘Me’ will add your name as the person ordering the tests

‘Current Providers’ will display a list of clinicians involved in the patients care. Select the one you require from the list displayed.

‘Other’ will allow you to freetext the name of the requestor. This can be used to add a request on behalf of someone who doesn’t appear on the list.

When the Pathology order is sent electronically to Telepath, the name of the order requestor (e.g junior doctor) will be replaced by the visit provider (e.g consultant).

5

Make sure ‘Start of Browse’ is showing from the dropdown box, so you can see the list of catalogues below

6

From the list of catalogues, click on the ‘+’ icons to expand the catalogues, to see all available tests

7

Or you can choose to freetext your request in the search field box, ‘Type here to enter order name’

Note: The dropdown showing ‘Start of Browse’ will show the catalogue folders, whereas ‘Manual Entry’ will not

Tip - typing the wildcard ‘%’ at the beginning will search for the word in any position in the test name. Not using the wildcard will only return results where the word is at the beginning of the test name, or there are no other words following the searched for word.

8

Highlight the test and click on the ‘Add’ button on the right hand-side of the screen

9

The order form opens for the test

Complete the mandatory fields and any additional information required

10

The Collection options ‘Now and Future’ are only available for Haematology and Biochemistry orders.

Selecting Future will require the date to be selected using the calendar icon at the end of the field.

11

The priority, collection method and any future date will appear on all Pathology tests when placed at the same time.

Note – For any Radiology imaging being requested at the same time, the only field that will pull through is the Requestor’s details, the priority will need to be entered and any other mandatory fields completed.

These can be changed for individual orders as required.

12

Note - Future collections will not appear on the Phlebotomy list until 24hrs before they are due.

13

The ‘Repeat’ button in the bottom left hand corner can be used to set up a recurring request for Biochemistry and Haematology tests.

14

The repeat order can be done daily or weekly. The repeat details are similar to reoccurring appointments on Outlook and will automatically create a request for the selected test on the chosen dates.

Once completed, click ‘OK’ to add the test

15

All tests will be added to the bottom of the Order Entry Worksheet

Repeat tests will look like the above, with an extra folder attached to the main test.

16

If you are collecting the specimen straight away, select the test and click ‘Add Specimen’

Alternatively, the specimen may be collected later. See separate Quick Reference Guide ‘Using Add Specimen to Collect Samples’ for more information

17

Once you are happy that all orders have been placed and no editing is required, click on the ‘Submit Order(s)’ button

18

If a D-Dimer Assay test needs to be ordered, from the order form, it asks if you have completed the D-Dimer Additional Form.  Next to the field is a link button to the D-Dimer Additional Form Word Document.

19

Click onto the link button and print the form.  The form is completed and processed as usual.

Note – If you open the link, it doesn’t save the form in Sunrise nor send it to the lab with the order form.

20

For ‘Add On’ tests for either Biochemistry or Haematology, start the process to place an order. In the search field box, type ‘Add On’

21

Select the ‘Add On’ test you require and click on ‘Add’

22

The order form opens for the ‘Add On’

Tick the boxes for the extra tests required and add any additional information

23

Click ‘OK’, once all details have been added.

The test is displayed across the bottom of the Order Entry Worksheet

24

Click the ‘Submit Order(s)’ button at the bottom of the screen

25

  • For Biochemistry, Haematology and Microbiology orders, the request is sent electronically to Telepath when the sample is collected.
  • For Haematology and Biochemistry – no order form is required. The labels will print when the sample is collected.
    • In the event of a Trust-wide issue with the specimen label printers, IT will activate the fall back forms. This means that, for Inpatients only, the requesting clinician is to click Add Specimen to automatically print order forms for Biochemistry and Haematology tests. The order form can then be placed in the tray for the Phlebotomists to collect the samples
    • The order form for Add-On tests will print in the Lab automatically. No specimens need to be collected
  • Microbiology and Cell Path Non-Gynae Cytology – the order form is printed when the order is placed on the ward but for outpatients it prints when the sample is collected. The specimen label is always printed when the sample is collected
  • Cell Path Histology – the whole process will remain on paper – order forms, labels and results
  • Blood Transfusion - Cross Match and Group & Save and other tests – the order form is printed when the order is placed on the ward but for outpatients it prints when the sample is collected. Specimen labels will remain handwritten. The report will come back into Sunrise as an unsolicited result
  • Blood Product Issue – no sample needed, the order form prints in the Lab, always ring the Lab for this to be actioned. The report will come back into Sunrise as an unsolicited result
  • If specimens are not collected within 12 months of the due date, the order will automatically be closed

26

Outpatient processes:

  • When an order is placed in Outpatients, or on the ward where the patient will be returning as an outpatient for the specimen collection, the patient will be given a card with the required option ticked
  • Outpatient ‘collect at home samples’ – the nurse will click Add Specimen on Sunrise to print the order form and specimen label, which will then be attached to the container and given to the patient. The patient will write the date and time of collection on the order form
