Is there any training or guidance material available?

The Trust has developed a range of quick user guides which can be found on the IT service desk home page or alternatively visit the NHSmail support site where a wealth of Teams training materials can be located.

 

Is Microsoft Teams Secure?

Microsoft Teams is encrypted and all data resides on UK shores.  NHSx have confirmed that Teams is safe to use.  Patient Identifiable Information can be stored on the platform temporarily but should be entered into the relevant clinical system as soon as possible.

 

Do I need IT to install the Microsoft Teams app?

You can install this without IT credentials on personal devices.  Trust devices, such as mobile phones and iPads, will need to have the app installed by IT.

 

Can I create a Team?

Unfortunately only the Trust’s Local Administrators can set up teams.  Please get in touch with IT via the service desk and this will be actioned as soon as possible.

 

What are the limits on a team?

A team can have up to 100 owners and 5000 team members.

A team can have up to 200 channels (including deleted channels).

 

What is a channel?

A channel is a discussion in a team, dedicated to a department, project or topic.

 

How do I get someone’s attention?

To get someone’s attention, type @ then their name.  They will receive a pop up message.  Type @ then a team name, to message everyone in a team or @ channel name to notify everyone associated with that team or channel.

 

How many people can I have on a Microsoft Teams call?

You can have up to 20 participants on a meeting started via the ‘Chat’ or ‘Calls’ options.

You can have up to 250 participants on a meeting started through the ‘Meet Now’ option or scheduled through ‘Outlook’.

 

Can I call external telephone numbers from Teams?

Teams cannot be used for outbound dialling to external telephone numbers.  You can only use it to make audit and video calls with other NHS mail users with access to Teams.

 

Can I invite an external guest to join a Teams meeting?

Yes, you can invite external participants to your meetings as a guest.  They will be asked to enter their username before joining the lobby (waiting area) for your meeting.

 

Why can’t I see my calendar in Teams?

The Teams calendar option is not currently available in the NHSmail provided Teams solution.

 

Can I record my Teams meetings?

This functionality is temporarily suspended.  Further communication regarding this functionality is expected from NHS Digital over the coming weeks.

 

 

What will happen after the 3 month free period?

An announcement will be made by NHS Digital in the coming weeks on plans after the 3-month window has expired.

 

How do I access support for any Teams queries?

Log a call with the IT service desk and a member of the team will get back to you as soon as possible.   Alternatively look at the support articles and guidance documents available on the NHSmail support site.
